Worker Privacy Notice

This notice is for employees, contractors and drivers whose employer uses ValiCrew.
Your employer decides what to record about you and why. They are the data controller. ValiCrew is the software they use, operated by Lenouar Artificial Intelligence Developing Services LLC as their processor — we hold the data on their instructions and do not use it for anything of our own.
For employers: you are welcome to copy this notice, adapt it to what you actually record, and give it to your staff. Providing it is your obligation as controller, not ours — but there is no reason you should have to write it from scratch.
What may be held about you
Your employer chooses which of these to use. Not every workspace uses all of them.
Who you are — name, contact details, date of birth, nationality, gender, the languages you speak, and a photo.
Your right to work — Emirates ID, passport, visa and labour card references, and expiry dates. These are stored encrypted, and the system holds them so it can warn someone before they expire.
Your job — designation, department, site or team, start date, employment type and status.
Your work — shifts assigned to you, hours worked, clock-in and clock-out times, leave requests and balances, and absences.
Where you clocked in — if your employer has enabled it, the coordinates recorded when you clock in, so a supervisor can check an attendance flag against the site location.
Your pay — salary, allowances, overtime, loans, end-of-service calculations and your bank account for salary transfer. Pay figures are encrypted individually, on top of the encryption applied to the database as a whole.
If you drive — driving licence details and expiry, and the vehicles assigned to you.
Documents — files your employer uploads about you, such as certificates or contracts.
Why it is held
To run the roster and tell you when you are working. To make sure the people on a shift hold valid credentials for it. To calculate your pay and produce salary transfer files. To meet your employer's obligations under UAE labour and immigration law. To keep a record of who changed what, which protects you as much as anyone.
Who can see it
People at your employer who have been given permission — typically coordinators, HR and payroll staff. Pay information is behind a separate permission, so seeing your roster does not mean seeing your salary.
Lenouar staff do not routinely look at your employer's data. Access is limited to operating and supporting the service, and it is logged.
Where it is kept
On servers in Abu Dhabi, United Arab Emirates.
If your employer has connected their own Microsoft SharePoint or Google Drive, uploaded documents are stored there — in your employer's own cloud account, not ours.
How long
For as long as your employer needs it and the law requires. Your employer sets a retention period, and the system shows them when records fall due for deletion. Some records, such as locked payroll and audit history, are kept even after other data is erased, because employment and tax law requires them.
Your rights
You can ask to see the data held about you, have it corrected, have it deleted, object to how it is used, or receive it in a portable format.
Ask your employer first — they control the data and the system gives them the tools to answer you directly. If you cannot get a response, you can write to [email protected] and we will pass your request to them, but we cannot release or delete your employer's records on our own initiative.
You also have the right to complain to the UAE Data Office.
Automated decisions
ValiCrew warns your employer about scheduling problems — an expired licence, insufficient rest between shifts, a clash with approved leave, a journey that cannot be made in time. These are warnings to a human, not automatic decisions. A person decides who works which shift, and the system records the reason when they override a warning.
