The labour card that expired while the visa looked fine

The person who kept our tracking sheet went on leave. Three weeks later a new hire could not get a visa, and that was how we learned a labour card had lapsed while nobody was looking.

The demo: the expiry watchlist reorders itself by what lapses first, and a renewal is handled before it costs anything. ⁦1:20⁩.

Our HR admin went on annual leave. Nothing dramatic: a planned holiday, a handover that mostly worked. Three weeks later we tried to process a new joiner and could not, because a labour card on the team had quietly expired while she was away and the lapse was blocking us.

The visa was still valid for months, so nobody had thought to check the card. That is the trap almost everyone running staff in the UAE falls into once: the two documents are related, but they run on different clocks.

The tracking sheet itself was accurate. It just needed a person to open it, and for three weeks no person did.

If it has already happened

  1. Check the real status before assuming. Look the card up in the official MOHRE channels, not the visa page. A valid visa says nothing about the permit.

  2. Start the renewal the day you find it. The cost grows with time; the renewal itself is routine paperwork once it is moving.

  3. Clear it before your next hire. The block on new permits is the expensive part, and it bites when a signed offer is waiting on a visa.

What the fix looks like

Dates that can stop the business cannot depend on someone being at their desk. We stopped keeping expiry dates somewhere a human had to remember to look, and made the dates chase us instead.

How we solved it in ValiCrew

ValiCrew keeps every staff document on one watchlist, ordered by what lapses first, with reminders that count back from each date automatically. Labour cards, visas, Emirates IDs, licences and insurance sit in the same view, so a card can no longer expire quietly just because its sheet stayed closed for three weeks.

ValiCrew watches these dates so nobody has to.

Rosters, document expiry and vehicles in one system, built in Abu Dhabi. Free for 30 days, no card needed.
