The day expired licences stopped being normal

For years the sector quietly ran on lapsed licences, because the roster and the licence file never met. Then the rules changed, the audits started, and the roster history became the evidence.

The demo: building the week's schedule, and an assignment refused because a licence has lapsed, with the reason spelled out. ⁦1:30⁩.

For a long time, staff going out on expired professional licences was simply how parts of the sector ran. The roster lived in one file, the licence dates in another, nothing connected them, and operations carried on because nothing stopped them and nothing checked.

Then the regulations tightened and enforcement arrived with audits. The auditors did the one thing nobody's spreadsheet ever did: they put the duty roster next to the licence validity dates. Every past shift worked on a lapsed licence became a finding, and findings were counted per instance.

We watched the fines land in amounts that some operations never really recovered from. The practice had not changed. The rules had, and the roster history was the evidence.

If it has already happened

  1. Pull every licence date against the current roster now. Do the auditor's cross-check on yourself before anyone else does it to you.

  2. Stand down expired credentials from regulated duties. It hurts the schedule for a week. It is nothing next to what the alternative costs.

  3. Renew oldest-first and keep the proof. A documented correction, dated before the inspection, reads very differently from one dated after it.

What the fix looks like

The only roster that survives that cross-check is one where the check happens at planning time, not at audit time. The schedule and the documents have to be the same system, so that an expired credential stops the assignment while it is still just a plan on a screen.

How we solved it in ValiCrew

In ValiCrew every assignment is validated against licence and document validity the moment it is made. An expired credential blocks the shift and says why, and the schedule history becomes the thing that proves compliance instead of the thing that proves violations.

ValiCrew watches these dates so nobody has to.
