Our PRO started every government transaction the same way: on WhatsApp, asking for documents. A passport copy. A photo. The visa page we had already sent him in March. Not because he was careless, but because the documents lived in ten places, and the only index was his memory.

HR would dig through folders while the worker was out on shift. The thread grew past four hundred messages. And still, once or twice a month, he would arrive at the typing centre, open his folder, and find that one document was missing or expired. He would drive back. Half a day gone, transaction not done, and the renewal clock still running.

The documents were never actually missing. They were scattered. That is a different problem, and it has a different fix.

If it has already happened

  1. Write one checklist per transaction type. A visa renewal, a permit amendment and a licence renewal each need a different set. Chasing from memory is how the second trip happens.

  2. Collect current copies before anyone travels. Check the expiry date on each document while it is still on a screen in the office, not in a folder at the counter.

  3. Keep the evidence of what was submitted. When a transaction is questioned months later, the receipt and the copy you filed are the whole answer.
