Winning a contract always meant the same week: hire fast, sometimes a dozen people, each arriving with a passport, a visa in progress, an Emirates ID application, a work permit and often a professional licence. Five documents, five clocks, all started the day they joined.

The tracking sheet was always going to be brought up to date on Sunday. But issuance windows and expiry dates do not wait for Sunday, and the busiest hiring weeks were exactly the weeks nobody had time to type.

Growth months were the dangerous months. The risk did not come from carelessness; it came from the gap between when a person started and when their paperwork got recorded.

If it has already happened

  1. Capture the dates on day one, not on Sunday. Ten minutes per person while the documents are in your hand beats an afternoon of archaeology later.

  2. Do each person in one pass. Identity, documents, dates, together. Half-entered records read as done and are worse than empty ones.

  3. Set reminders backwards from each expiry. The renewal lead time is part of the date. A reminder on the expiry day itself is a notification of a problem, not a warning.
