Leave requests used to arrive as WhatsApp voice notes, usually at night, in whichever language the sender thought fastest. Approvals were a thumbs-up emoji somewhere in a thread of four hundred messages.
Which works, right up until it does not. Two people had been approved for the same week, by two different supervisors, in two different chats. The roster discovered it the hard way, and nobody could find who had said yes to what, or when.
The problem was never the asking. It was that the decision happened somewhere with no memory, blind to its own consequences.
If it has already happened

Pick one intake channel and close the others. Requests can start anywhere, but they only count once they land in the one place that keeps a record.

Write down current balances before deciding anything. Half the arguments about leave are really arguments about arithmetic nobody did.

Check the roster before saying yes. The question is never only "does this person deserve the week off". It is "who covers Tuesday".

Record who approved, and when. The thumbs-up is fine. It just needs to happen somewhere that remembers it.
