Employee onboarding and exit clearance for UAE teams.
Turn joining formalities into one checklist per person: contracts signed on their phone, passport and visa copies collected, equipment handed over, access granted. On the last day, the exit clearance brings it all back — assets returned, access removals recorded, and the final settlement worked out alongside.
Included in the 249 AED plan. No per-employee pricing.
Joining formalities, assigned and tracked.
Every new hire gets the same checklist your best HR person would run — without anyone chasing it on WhatsApp.
Your own templates
Start from an example or a blank page. Tasks run in parallel, and each can have an owner and a due date counted from the joining day.
Tasks reach the right person
HR and operations in ValiCrew, the new hire in the crew app once they have started, and anyone without an account — a new hire before day one, a client, a supplier — through a secure link they confirm with an email code.
Sign and acknowledge
Typed name, drawn signature, signature image or an uploaded signed PDF. Several people can sign one document; every signature gets a receipt.
Evidence in your own storage
Uploads go to your SharePoint or Google Drive. A second person can review before a task counts as done.
An exit clearance that actually clears.
The last day is where things go missing: a laptop, a fuel card, a login nobody removed. The clearance pulls them in from the registers, so nothing depends on memory.
- Assets returned — what they still hold comes from the asset register, not a spreadsheet.
- Access removed — door cards, keys and system accounts, with who recorded each removal and when. ValiCrew records the removal; it does not sign in to your other systems.
- Final settlement — gratuity and dues worked out alongside the clearance by whoever runs payroll, from the salary history ValiCrew already holds.
- Explained exceptions — an unfinished task warns; it never blocks a decision. Anything skipped carries a reason and a name.
Questions about onboarding.
Also for contractors, suppliers and clients: the same journeys work for anyone you bring on or let go.
What should an onboarding checklist in the UAE include?
Usually the signed offer and contract, passport, visa and Emirates ID copies, the work permit or labour card, medical insurance, bank details for WPS salary, the equipment and access the role needs, policy acknowledgements and a site induction. Our free checklist lays these out; ValiCrew turns it into tasks with owners and dates.
Can new hires complete joining formalities before day one?
Yes. Before their first day they get a secure link and confirm who they are with a code sent to their email. Once they have started, their tasks appear in the crew app.
Is the signature legally binding?
ValiCrew records who signed, when, how they were verified and the exact version of the document, and gives you a receipt. It is not a certified digital signature or UAE Pass. If a document must be signed that way, upload the signed PDF to the task instead.
Does an unfinished checklist stop someone working?
No. Unfinished tasks show as warnings, and you can close a journey with a recorded reason. Document rules — like an expired licence stopping a booking — still apply separately.
