We have sat on the operator side of data audits, and the hardest question is always the same: where exactly do the files live, and who can touch them? So we built the answer we wished we had.
We have been through data and information-security audits from the operator side of the table. The afternoon always turns on the same question: where exactly does every passport copy live, and who can reach it? If the honest answer is "on some vendor cloud, we are not sure which region", that is a long afternoon.
Most workforce tools ask you to upload your staff documents into their storage. That makes their answer your problem: their region, their subprocessors, their retention, all of it lands in your audit file.
So when we built ValiCrew we made the answer boring on purpose. The files never move in with us.
If it has already happened

Map where every copy lives today. Personal drives, WhatsApp galleries, shared folders, old laptops. You cannot protect locations you have not listed.

Cut the duplicates. Every extra copy is an extra place to leak from. One controlled location per document beats five convenient ones.

Put access behind named accounts. A shared login cannot answer the auditor question "who opened this file". Named users with roles can.

Write down retention and deletion. What you keep, for how long, and how it dies. Auditors credit a written rule that is followed over a perfect rule that is not.
What the fix looks like
