Transport duties
Run your own transport: bind a vehicle to a transport shift, assign a driver, and plan the pickups and drop-offs each driving duty makes.
On this page
A driving duty is a transport shift with a vehicle bound to it, and the journeys it drives: pickups, drop-offs and the workers riding. The shift stays the unit you schedule, so the driver's hours, rules and pay work like anyone else's. Transport is optional: if your company does not run its own vehicles, you never need it.
Seeing driving duties needs schedule.view; creating and changing them needs schedule.manage (Admin, HR and Operations). Only a worker with a driver profile can be put on a transport shift.
Create a driving duty
- Go to Work Schedule and choose Schedule, then New and New driving duty.
- Set the Date, Start time and Duration (minutes).
- Choose the Designation for the driver and the Vehicle.
- Choose Submit.
The vehicle's registration and insurance must be on file and valid through every day of the duty, or the duty is refused with the document that is missing or expired. See Assets and vehicles.
Already have a transport shift with no vehicle? Click it on the calendar and choose Assign vehicle. Or, on the list of driving duties, choose New driving duty, pick the Transport shift and the Vehicle, add Notes and choose Create.
Put a driver on the duty
Assign the driver on the transport shift like any other shift: from the calendar under Who can take it, or with Assign worker on the shift page. See Schedule and rosters.
The duty adds the driving licence to the shift's required credentials, so the rule check treats it like any other credential. A lapsed licence keeps a driver off transport shifts until it is renewed. Rest and working-time rules apply to drivers as to everyone.
Plan the journeys
Open the duty: on the calendar, click the transport shift and choose Open duty, or go to List view, switch to Driving duties and pick one. The title gives the vehicle and the day, the line under it the times and who is driving. On the side, the Vehicle and Driver cards show the papers that would stop the duty if they lapse, such as the Driving licence.
On the Journeys tab:
- Choose Add a journey. Write the Pickup and Drop-off, and set the Planned time.
- Open Pickup & drop-off coordinates (optional) to pin both ends on the map. Then the travel time around this duty can be checked; without them, the check says it cannot measure this leg.
- Choose Create.
- To say who rides, choose Link worker shift on the journey and pick the Worker shift. The journey shows who rides and how many seats are taken; a link that would go over the vehicle's seats is refused.
Propose journeys from the roster
When Roster assist for transport is on in Group policies, the Journeys tab also has Propose from roster. It reads the published roster for the duty's day and creates a journey for each client visit, from the depot to the client, with the visit already linked. Review each one, then edit or delete it. With no published client visits that day, nothing is proposed.
The list of driving duties
On Schedule, choose List view and switch to Driving duties. Each row shows the Date, the Vehicle, the Driver, the number of Journeys and the Status of the shift. To delete a duty, delete its journeys first.
