Salary setup
Give each person a salary from a date and a way to pay it, one at a time or many at once with a spreadsheet, so payroll can pay them.
On this page
Payroll can only pay someone who has a salary on file and a way to pay it. The Salary setup page shows who is ready and who is not, and lets you set up or change salaries for one person or for many at once with a spreadsheet.
A salary is kept as a revision from a date. A change never overwrites the old figures: it starts a new revision, and the earlier ones stay in the person's history.
Admin and HR can see and change salaries. A custom role needs salary.view to see this page and salary.manage to set up and change salaries. Entering a WPS account also needs wps.manage. Allowance types are managed by Admin.
See who is ready for payroll
- Go to Salary and choose Salary setup.
- Use the switch above the list to show Employees or Contractors.
- Choose a counter to filter the list: Everyone, Ready for payroll, No salary yet, No way to pay or Paid outside WPS.
Each row shows the person's Basic, Allowances and Monthly total, how they are paid (Paid by) and since when (Since). The Salary setup tab also shows how many active people still need a salary or a way to pay.
Set up or change a salary
- Find the person and choose Set up. If they already have a salary, the button says Change.
- In Starts from, pick the first day the salary applies. It suggests the first day the next open payroll run will pay, or the start date of someone who has not started yet.
- Enter the Basic amount.
- For each allowance, choose Add an allowance, pick the allowance and enter its Amount.
- Turn on Pension applies (UAE and GCC nationals only) when it applies. The Monthly total updates as you type.
- Under How they are paid, choose WPS, Bank transfer or Cash.
- For WPS, pick the Paying agent, choose what the salary is Paid into (IBAN, Payroll card or Paying-agent account) and enter the Account.
- Choose Save salary. The save and next button also opens the next person still to set up.
Saving on the same date corrects that revision; any other date starts a new one. Only paying agents verified for WPS are listed, and an IBAN must be a valid UAE IBAN. Once saved, only the last four digits of the account are shown, and opening the full account is written to the audit trail.
Choose Bank transfer or Cash for people paid outside WPS. They stay in the payroll run but are left out of the bank salary file, and the run shows them separately.
From the menu at the end of a row, Salary history and Payment history open the person's Pay tab, where every revision is kept.
Fill in a spreadsheet
For many people at once, open the Fill in a spreadsheet menu:
- Download missing setup gives a workbook of the people in the list with no salary or no way to pay.
- Download every salary gives a workbook of every active person of the kind shown, for changes.
- Upload completed workbook loads the filled-in file.
You can also tick people in the list and choose Download missing setup for selected or Download salary revisions.
After the upload, a review shows the batch with counts of Rows, Ready, Problems, No change and Applied. You can correct any row in place: the Salary action, the Payment action, the date and the amounts. Nothing reaches salary history until you apply it:
- Tick ready rows and choose Apply selected, or choose Apply all ready rows.
- Download rows needing attention lists the rows that still have a problem, with the reason.
- Choose Discard batch to drop the whole upload instead.
| Status | What it means |
|---|---|
| Ready | Checked and can be applied. |
| Problem | Something needs fixing first. The reason is shown under it. |
| No change | The row matches what is already on file. |
| Applied | Saved to the person's salary history. |
| Failed | Applying it failed and nothing changed. |
Only a workbook downloaded from this page for the same company is accepted, and after 30 days you need a fresh copy. Earlier uploads stay under Recent salary batches.
Allowance types
Allowances are picked from a list shared by every company in the workspace, such as housing, transport or phone.
- Go to Lists & catalogs and, under Pay, choose Allowance types.
- Add a new type. Write its name in English and, if you like, in the other languages, then choose Create.
- To retire a type, choose Stop using. It stays on the salaries that already use it but is no longer offered. Use again brings it back.
