Salary export

Download the approved regular, overtime and holiday hours for a payroll period, one row per person per cost centre, for your payroll system.

On this page

The Salary export gives payroll the hours to pay for one payroll period: regular hours, overtime and public holiday hours, taken from approved timesheets. Download it for an outside payroll system, or use it to check the numbers before this app's own payroll run.

Only approved timesheets count. Clock-ins that are not on an approved timesheet, and timesheets still in draft, never reach the file.

Admin and HR can open the export. A custom role needs salary.view.

Open the export

  1. Go to Attendance and choose Salary export.
  2. The page opens on the last closed payroll period. To pick another, open Payroll period and choose one of the recent periods.

The period follows the Payroll cut-off day under Pay in Group policies. With a cut-off on the 25th, a period runs from the 26th of one month to the 25th of the next. A cut-off on the 28th or later means the calendar month. See Workspace settings.

Check what goes in

The top of the page says what the file holds:

  • How many timesheets are approved, with their regular, overtime and public holiday hours.
  • Timesheets still in draft, by name. They are left out until someone approves them, and the file then updates. The review buttons next to the names open those timesheets.
  • Timesheets that run past the end of the period. Their days up to the period end are included; the rest wait for the next export.

Every approved hour lands in exactly one export, so nothing is paid twice or missed.

Download the file

What the file will contain shows the rows exactly as they download: one row per person per cost centre, with Code, Person, Regular, Overtime, Holiday and Cost centre, and the totals underneath.

Choose Download CSV. The same period always gives the same file, so you can download it again at any time.

Someone who worked for two cost centres in the period has two rows, one for each.

See hours by site

By site shows, for each site, the Planned and Actual hours and the Overtime share of the actual hours. Use it to see where overtime is building up before you pay it.

Use it with the payroll run

The button at the top of the page (it names the month) opens Payroll runs. The run reads the same approved timesheets: it pays overtime for approved timesheet days inside its calendar month, at the Overtime rate (%) in Group policies, never below the legal minimum. Timesheets still in draft show in the run under Before it is approved. See Payroll runs and payslips.

To approve timesheets, see Attendance and timesheets.
