Notifications and email

Read your notifications in one place, choose which routine ones you get, and connect your own mail server so reminders also go out by email.

On this page

ValiCrew tells people about expiries, approvals, schedules and problems in two ways. Every notice lands in the notification centre behind the bell at the top of the screen. Email goes out as well once your workspace has connected its own mail server. Until then, nothing is emailed and everything stays in the app.

Everyone has their own notifications and choices. Connecting the mail server needs Admin, or a custom role with workspace.manage.

Read your notifications

The bell shows what arrived just now. For the full history, open the user menu at the top of the screen and choose Notifications.

  • Unread notices come first, then the newest.
  • Each one shows its Company, or Workspace when it concerns every company, its Priority (Normal, Important or Critical) and when it was Received.
  • Filter by Company, Type, Priority or Read.
  • Choose View to open what the notice is about, Mark read for one notice, or Mark all read.

You only see notices for the companies you can reach. If your access to a company is removed, its notices leave your list too.

Choose what you are told about

Each person chooses for themselves in Your account › Notifications:

Kind Can you turn it off?
Approvals Yes
Scheduling Yes
Imports Yes
Documents No, always on
Email delivery No, always on
Emiratisation No, always on

See Your account.

Connect your mail server

Your workspace sends email through its own mail server (SMTP), one connection shared by every company.

  1. Go to Settings and choose Mail.
  2. Choose Edit SMTP settings and turn the connection on.
  3. Fill in the host, port, Encryption (TLS or SSL), username and password your email provider gives you.
  4. Add a Default from address and Default from name. Any company that has not set its own sender uses them.
  5. Choose Submit, then choose Send test email and give an address to send it to.

The page shows the status, the server details and the sender. The password is stored encrypted and never shown again; leave it blank when you edit the settings to keep it. A test that goes through means your server accepted the message, not that it was delivered.

Send as each company

What recipients see, such as the sender name and address, belongs to each company. Set it in the company's Email identity section and check it with Send test as this company. A company with no from address of its own, and no workspace default, cannot send email: its reminders and notices stay in the app. See Add your companies.

When email is not set up

  • The Workspace page and the settings menu mark mail as needing attention.
  • Reminders and notices stay in the notification centre, so nothing is lost.
  • If reminder emails cannot be sent, the people who manage the workspace or the company get an Email delivery notice. It cannot be turned off.
  • Quiet hours in Group policies hold back non-urgent phone notifications to staff. See Workspace settings.

Who gets reminders about expiring documents is set per company. See Reminders.
