Third parties
Keep suppliers, agencies and partners in one register with contacts, documents, contract dates and journeys, and add individual contractors under Staff.
On this page
The third-party register holds the organisations you work with: suppliers, agencies, partners. Each one has an internal owner, its contacts and documents, the dates that matter in the contract, and the journeys you run with it, such as onboarding a new supplier.
A contractor who works for you as an individual is a person, not an organisation, so they are added under Staff instead. See Contractors below.
Admin, HR and Operations can use the register. A custom role needs third_parties.view to see it, third_parties.manage to add and change third parties, and third_parties.types.manage for the list of types. Running their journeys also needs the journey permissions.
Add a third party
- Go to Third parties and choose Register, then the button to add a new one.
- Type the name. English is required; add the other languages if you like.
- Choose the Type and the Internal owner, who is you unless you change it. Add Notes if useful.
- Under Contract and review dates, set the Start date, End date, Notice date and Review date that apply.
- Choose Create.
Follow the register
The switch above the list shows Active, Paused or Ended third parties, with how many of each. For every third party the list shows the main contact, the Internal owner, the Next date that needs someone (a review, the notice date or the end of the contract) and its Open journeys. A date turns amber within 30 days and red once it has passed. Filter by Type or Internal owner, or search by name.
Open one to see its Overview, then its Contacts, Documents, Journeys and History tabs, and the assets and access it holds. Choose Edit details to change it.
Pause or end a relationship
- On the third party, open More and choose Pause, Resume or End relationship. An ended third party can be opened again with Reopen.
- Give the Reason and choose Submit.
The change and its reason are kept on the History tab. Ending a relationship does not close its open journeys or remove access you gave its people; the warning says how many journeys and tasks are still open.
Contacts
On the Contacts tab, choose Add contact and enter the Name, Email address, Phone and Job title. Turn off Active for someone who no longer deals with you. Contacts can be invited as guests to a journey task.
Third-party types
Go to Lists & catalogs and choose Third-party types. Your workspace starts with Supplier and Partner. Add your own from the top of the list, edit a name in the drawer beside it, and use Stop using for a type you no longer need (Use again brings it back). Used by shows how many third parties have each type.
Third-party journeys
Go to Third parties and choose Journeys. They work like staff journeys: choose Start journey, pick the third party and a template whose Applies to includes Third parties, assign the tasks and follow them. To bring in someone from the other side, use Invite a named guest and choose their Contact. See Joining and leaving.
Your workspace starts with templates for onboarding, changing and offboarding a business relationship.
Contractors
Go to Staff and choose Contractors. A contractor has the same record as an employee, with its documents, availability, leave and timeline, and is added in the same four steps. See Add employees. Employees and contractors share one set of codes, so each code belongs to one person.
